Notion
Free planA shared workspace for documents, structured information and team processes.
Good fit for Keeping team information together

The Tech Labs verdict
Notion is worth shortlisting when documents and structured information belong in the same workspace. It can make sense for a small team that would otherwise scatter project notes, reference pages and trackers across several tools.
The flexibility requires ownership. Decide who maintains each database, which fields are required, and how old pages are archived. Without those agreements, a shared workspace can become another place where people search for the current version.
Use the free plan to build one real workflow before moving the whole team. Test permissions with a guest account, export a sample of important material, and check which AI features and collaboration limits apply to your chosen plan. A free account does not imply unlimited AI usage. Our assessment is based on the published product and plan descriptions, not a measured productivity study.
Choose it if
- Your team needs documents and structured trackers in one place.
- Someone will maintain the workspace structure.

Before you choose
Does the free plan include unlimited AI?
No. Check the current pricing page for trial allowances and the plan required for your intended AI workflow.
What should a team test first?
Permissions, guest access, export and ownership of shared information matter more than a polished template.
How does it differ from Obsidian?
Notion centres on a shared workspace; Obsidian centres on a personal collection of local notes. Compare the workflow you actually need.
